Job Description:
Facilities Manager Position Summary Reporting directly to the
Support Services Director, Facilities Manager is responsible for
directly overseeing the day-to-day operations of the physical plant
and buildings, grounds, and care of other hospital property to help
provide an optimum and cost-effective operation. Routinely reviews
and provides training and guidance to staff level positions to
ensure that assigned areas are properly maintained according to
hospital policies and standards of quality and safety. For managing
supplies and equipment, for promoting teamwork with staff, peers,
physicians, and Hospital administration. This individual will be
responsible for continuous development of the facility maintenance
program, review and updating of policies and procedures,
environment of care, emergency management and Performance
Improvement activities. Computer data collection to develop and
support an efficient and highly productive staff. Works in
collaboration with the Environmental Services Department and
Bio-med for the input and completion of all maintenance requests
and work orders. Works on special projects and committees as
assigned by the Director of Support Services. Major
Responsibilities Leadership- Plans, revises, and coordinates all
operative and departmental policy and procedures in conjunction
with the Director. Adheres to organizational policies and
procedures, as well as practicing good labor relations. Enforces
departmental policies and those of other governing agencies (i.e.
Title 22, TJC, and local, State and Federal authorities). Maintains
communication and acts as a liaison between all shifts and
departments to ensure smooth operation and continuity of work.
Tours hospital periodically, covering each assigned area to observe
facilities crews at work and to determine the instructions are
followed and safety rules are observed. Ensures that the Facilities
Services Department maintains the physical facilities in a
functioning, safe, and orderly condition in support of quality
patient care. Prepares daily assignment preventative maintenance
schedules to include established routines, as well as special areas
to be serviced and maintained. Keeps personnel records on employees
such as hours worked, attendance, absences, vacation, and wage data
for payroll. Maintains an inventory of necessary supplies,
materials and equipment and prepares requisitions for replacement
of depleted items and those in need of repair. Determines the
ordering and distribution required supplies and materials to meet
the needs of the hospital. Active participation in performance
improvement committees, representing Facilities Services Department
to ensure strict adherence to established regulatory surveillance
programs. Responsible for facility emergency management program and
attends/participates in all County and regional drills, exercises
and team meetings. Organizational Responsibility Ensures that
departmental employees demonstrate and promote a caring, courteous
attitude to patients, visitors, and other co-workers at all times
to prevent and/or address complaints as well as concerns. Works
collaboratively with various Department Managers / Nursing
Supervisors addressing services rendered by the Facilities Services
Department. Education Assures in-service training programs are
completed to improve and enhance staff effectiveness (i.e.
Environment of Care, Performance Improvement and Emergency
Management). Introduces and instructs personnel in the use of new
products and services to provide the most efficient and economical
methods of maintaining the hospital. Quality Control Routinely make
rounds throughout the Hospital to check the appearance, conduct,
and work performance of all departmental employees. Conducts
environmental inspection rounds on a weekly basis and provides
documentation monthly. Maintains and monitors facility work order
system to ensure work orders and preventative maintenance schedules
are completed timely. Human Resources Conducts applicant
interviews, as required. Also recommends employees for transfers,
promotions, dismissal, and training in conjunction with the Support
Services Director, as required. Practice on-going effective
communication skills, human relations skills, and sensitivity to
the needs of others to maintain harmonious inter-personal relations
between departments and staff members by making frequent visits and
conducting staff meetings regularly. Consistently demonstrates the
ability to respond positively to changing circumstances to maximize
the opportunity or minimize the problem. Conducts performance
appraisals (90 days and Annual) to promote goal setting, feedback,
and training opportunities. Other duties as assigned. '
Qualifications Required High school diploma or equivalent
Proficient with computer systems/software, i.e., work order system,
Outlook and various facilities ordering systems. Fire Card after
hire Preferred ASHE Certification
